Privacy notice
Last updated 20 October 2026
This explains what happens to the information you send through this website, by the enquiry form or by the WhatsApp messages its buttons prepare, and what you can ask us to do about it. It is written to meet the Protection of Personal Information Act (POPIA).
Who is responsible
XO Fit is the business collecting this information. You can reach it at 1010 Zebediela St, Faerie Glen, Pretoria 0081.
Unlimited Solutions Enterprise helps XO Fit handle enquiries as its operator under POPIA. It handles your information for XO Fit, not for its own purposes. The information officer is Wikus van Dyk, the owner of XO Fit. Requests about your information go to the address at the bottom of this page, and Unlimited Solutions Enterprise deals with them on XO Fit's behalf.
What the form collects, and why
| Information | Why | Needed? |
|---|---|---|
| Your name | So a reply can address you, and so it is clear who the enquiry is from. | Required |
| Your email address | So Wikus can reply. It is set as the reply-to address on the enquiry email, and, only if you tick the box asking for it, one short confirmation email is sent to it when the enquiry arrives. It is used for nothing else. | Required |
| Your phone or WhatsApp number | Only so you can be reached the way you prefer, if you would rather not use email. | Optional |
| Your three answers: goal, how you would like to train, and when you would like to start | They tell the reply what you are after before it is written. They are picked from a short list on the page, and they are sent with the enquiry email and kept with it. | Required unless you write a note |
| Your note | Anything you want to add. Please do not include health or medical details: they are not needed to arrange a first session and this form does not ask for them. | Required unless you give all three answers |
Those are the details the form asks you to provide. The service that protects the form from automated submissions also processes browser and IP information.
Why we are allowed to hold it
You send it to us, on purpose, in order to get a reply. That is the basis on which it is held, and it is limited to that: an enquiry is permission to answer you, and it is not permission to market to you later. You will not be added to a mailing list, and nothing you send is sold or shared for advertising.
How long it is kept
Our retention target for enquiries is 12 months. Deletion of email copies after that period has not yet been confirmed. You can ask us to delete your enquiry sooner using the contact details below. If your enquiry becomes an ongoing training arrangement, the records that go with that arrangement are kept separately and for as long as the business needs them.
Who else touches it
We use service providers for communication, website delivery and form protection. They process information to provide those services.
- Microsoft provides communication services.
- Cloudflare provides website delivery, form protection and enquiry storage. Its form protection processes browser and IP information. Cloudflare publishes a separate Turnstile privacy addendum. Enquiry information stored with Cloudflare is held in the European Union, with a retention target of 12 months.
Both are international providers, so your information may be processed on systems outside South Africa. Each handles it under its own published terms.
If you message on WhatsApp
The WhatsApp buttons on this site open WhatsApp with a message ready for you to send to XO Fit's number. The choices you tap to build that message stay in your browser: the site stores nothing you choose or type. Nothing reaches XO Fit until you press send in WhatsApp.
WhatsApp is a service of Meta. The message, including the text prepared by the button, is carried by WhatsApp under its own terms and may be processed outside South Africa. Once it reaches XO Fit's phone, it is personal information we hold, and everything under "What you can ask for" applies to it. Please do not include health or medical details in a first message.
What you can ask for
Under POPIA you can ask us to:
- tell you what information about you we hold;
- correct anything that is wrong;
- delete it, which we will do unless there is a legal reason to keep it;
- stop using it.
Ask using the details below and we will respond. If you are not satisfied with how we handle it, you can complain to the Information Regulator of South Africa: email POPIAComplaints@inforegulator.org.za, call 010 023 5200, or see its contact page.
Changes
If this notice changes, the date at the top changes with it. Material changes will be described rather than quietly replaced.
20 October 2026: the information officer is now Wikus van Dyk, the owner of XO Fit, and Unlimited Solutions Enterprise deals with privacy requests on its behalf. The Information Regulator's contact details were added.
How to reach us about your information
Email enquire@xofit.co.za, call 082 734 6319, or send a WhatsApp message.
Please say what you are asking for, so it can be dealt with without needing to ask you for more information than necessary.
